Statute

These regulations define the rules for participation in classes, workshops and events organized by the Turska & Ramos "Przestrzeń Tańca" Foundation with its registered office in Gdynia (81-380) at 1 Armii Wojska Polskiego 8/U4, which runs the Paulina Turska Dance Academy dance school.

Version effective from August 19, 2026.

GENERAL INFORMATION

  1. The school operates in the following locations:

    • Gdynia: ul. 1 Armii Wojska Polskiego 8/U4.

  4. A person who has accepted the regulations, registered and paid for membership may participate in the classes.

  5. Minors participate in classes with the consent of their parent or legal guardian.

RULES OF PARTICIPATION IN CLASSES

  1. Any person who has registered and paid for the classes in accordance with the applicable price list may participate in the classes.

  2. Minors may participate in classes only with the consent of a parent or legal guardian.

  3. Punctuality is essential. Late arrivals do not entitle you to an extension of class or a refund.

  4. The consumption of alcohol, drugs, and other stimulants is prohibited on school grounds. Failure to comply with these restrictions or arriving under the influence of these substances may result in dismissal from classes and the appropriate authorities being called.

MEMBERSHIP AND PAYMENT MODEL

  1. Fees for classes are paid in advance, according to the established price list and schedule.

  2. Failure to pay may result in refusal to participate in classes.

  3. Payments can be made by bank transfer, card, cash or through the reservation system as agreed with the school reception.

  4. Single entry: Valid only on the day of purchase for specific, selected activities.

  5. Volume passes (e.g., 4, 8, or 12 entries) or an OPEN pass: All passes are personal and valid for 30 days from the date of purchase (or the date of the first entry, if the system specifies so). Unused entries after the pass's expiry date will be forfeited.

  6. Sub-accounts and pass sharing: The school allows you to create a sub-account within your main Fitssey profile, allowing more than one person (e.g., a parent and child, siblings, or a couple) to use a single pass. If you wish to create a sub-account, please notify the school administration before classes begin.

  • If several people participate in classes at the same time, the appropriate number of entries is deducted from the pass.

  • The validity period of the pass remains unchanged (30 days), regardless of the number of people using the sub-account.

  1. No Refunds: All fees are non-refundable. The school does not refund any unused entries due to the participant's fault (illness, travel, etc.).

  2. After the validity period of the pass expires, unused entries are forfeited and are not transferred to the next period.

  3. Passes are personal and assigned to one person only. They cannot be resold, transferred, or made available to third parties for any reason (exception: sub-account).

  4. If the above provision is found to be in breach, the pass may be cancelled without any right to a refund.

  5. Timeliness: Payments must be made in advance, no later than the start date of the new cycle. Failure to pay will entitle the School to remove the participant from the group's list.

  6. The purchase of a pass constitutes acceptance of the terms and conditions of participation and is non-refundable and non-transferable.

  7. It is not possible to suspend participation in classes or "freeze" passes – regardless of the circumstances.

  8. The pass must be used in full within its validity period.

  9. Making up classes: Only classes cancelled within the 3-hour deadline can be made up in another group within the validity of the current pass, after prior arrangement with the administration.

  10. The school reserves the right to cancel classes if attendance falls below 6 people. In the event of insufficient participants or other circumstances affecting the profitability of the classes, the school may decide to suspend or terminate the classes. Participants will be informed of any changes in advance.

  11. In exceptional and documented unexpected circumstances (e.g. hospitalization), a request to reschedule classes may be considered individually – only upon written request and at the discretion of the organizer.

  12. The purchase of a pass constitutes acceptance of the terms and conditions of participation and is non-refundable and non-transferable.

  13. It is not possible to suspend participation in classes or "freeze" passes – regardless of the circumstances.

  14. The pass must be used in full within its validity period.

ORGANIZATION AND RESIGNATIONS

  1. Classes are held in groups or individually – in accordance with the school's offer.

  2. The school provides appropriate accommodation and safety during classes.

  3. The participant undertakes to follow the instructors’ recommendations and conduct classes with respect towards other participants.

  4. In the event of inappropriate behavior by a participant, the school has the right to refuse further participation without refund.

  5. Fitssey System: Records are managed through the Fitssey system.

  6. Cancellation: Missed classes must be reported at least three hours before the scheduled class starts via the Fitssey system. Only then will it be possible to make up the missed class in a different group (subject to availability) that month.

  7. Cancellations should be made independently via the online registration system available on the website or in the Fitssey app.

  8. Late cancellation: Reporting an absence less than 3 hours before the class will result in the lesson being considered completed (entry from the subscription will be forfeited).

WORKSHOPS AND SPECIAL EVENTS

  1. Participation in special events (such as shows, trips, workshops, special events) takes place according to separate rules established for each event.

  2. The school reserves the right to charge additional fees for participation in such events – in accordance with the school's current price list.

  3. Additional workshops are paid separately, regardless of the passes you have.

  4. Failure to attend a paid workshop does not entitle a participant to a refund or to transfer the payment to another date.

  5. A person registering for a workshop undertakes to participate – failure to attend means forfeiture of the fee paid.

  6. The Academy organizes shows, artistic events, and stage projects as a natural part of the training process. Participation in these projects supports participants' stage development. Organizational details and any event fees are communicated in advance.

INDIVIDUAL LESSONS

  1. Lesson dates are agreed directly with the instructor and/or school administration and require payment in advance.

  2. Cancellation of a lesson without loss of funds is possible up to 24 hours before the date.

  3. The absence of a participant from a lesson without prior notification is treated as a completed lesson.

  4. The school reserves the right to change the date of lessons in exceptional situations – with the provision of an alternative date.

  5. The cost of an individual lesson includes a room rental fee – depending on the room selected and availability – if the instructor conducts the classes on his or her own.

  6. Individual lesson packages are valid for 30 days from the first lesson, unless otherwise agreed.

HEALTH AND SAFETY

  1. Participants declare that their health allows for physical activity. Any injuries or contraindications must be reported to the instructor before the class.

  2. The school is not responsible for injuries resulting from failure to follow the instructor's recommendations or concealing a health condition.

  3. Participants are required to follow instructor instructions and school organizational policies. The school is not responsible for injuries resulting from failure to follow instructor instructions. It is recommended that participants be in good health and able to safely engage in physical activity.

  4. Participants are required to maintain personal hygiene, wash their hands and, if necessary, cover their mouths when coughing and sneezing.

  5. Clean, changeable shoes, appropriate sportswear and tied-up hair are required in the gym.

  6. It is forbidden to bring animals or dangerous objects onto school grounds.

  7. The changing rooms are for changing and storing items during classes only.

  8. The school is not responsible for valuables left in the cloakroom. Please take them to the dance hall.

ETIQUETTE AND RESPECT FOR PROPERTY

  1. The Academy values good manners, mutual respect, and a positive attitude. Aggressive behavior or behavior that violates the boundaries of others will result in immediate removal from the student roster.

  2. During classes, keep conversations to a minimum. Any questions should be directed to the instructor at the designated time.

  3. In the event of any uncivil behavior, violation of personal boundaries, inappropriate comments, or undesirable behavior during classes – especially during pair classes – please report it immediately to the instructor or reception.

  4. The school takes all requests seriously, ensuring discretion and support. Our priority is the mental and physical safety of all participants.

  5. The school is committed to the principle of full respect for everyone – regardless of gender, age, appearance, origin or orientation.

  6. Participants of classes and persons staying on the studio premises are obliged to use the provided property (including audio equipment, mirrors, air conditioning, exercise equipment) in accordance with its intended purpose and with due care.

  7. It is prohibited to independently interfere with the settings or operation of technical devices, particularly the air conditioning and ventilation systems. Any requests for temperature or airflow adjustments should be reported only to the instructor or reception staff.

  8. If you notice a failure or malfunction of any device, please inform the studio staff immediately.

  9. For any damage caused by wilful misconduct, gross negligence or use of the equipment contrary to its intended purpose (including unauthorized manipulation of control devices), the perpetrator bears full financial responsibility.

  10. In the case of minors, their parents or legal guardians are responsible for any damage caused and the costs of repairing the property.

  11. Monitoring: The facility is monitored to ensure safety and property protection.

  12. Night time silence: Night time silence applies on the Academy premises from 10:00 p.m.

ACTIVITIES FOR CHILDREN – RULES FOR PARENTS

  1. The instructor is solely responsible for the children during the class. Before and after class, children remain under the full supervision of their parents.

  2. Instructors have no obligation or right to care for children before or after classes.

  3. Instructor supervision time does not include minutes before or after class.

  4. The dance school and instructors are not responsible for the children after classes have ended.

  5. Waiting area: Due to limited space and to ensure the comfort and concentration of students, the reception area is intended exclusively for those waiting for their classes.

  6. Children are not allowed to run in the corridors or enter classrooms outside of school hours.

  7. Dance halls are prepared for lessons and cannot be used as a play or waiting area.

  8. Parents are obliged to constantly supervise their children before and after classes.

  9. Pick-up: Parents are required to pick up their children on time after classes.

ROOM RENTAL

  1. In the event that a participant (or a third party) rents the room for their own workshops, classes or commercial events – unrelated to the school’s schedule – a premium fee of PLN 30 is added for each commenced hour of room rental.

  2. Additionally, a mandatory cleaning fee of PLN 35 per hour is added to each rental.

  3. These fees apply independently of the standard rental rate and apply to business conducted under your own brand, name or for commercial purposes.

  4. The room must be left in an undamaged condition; any additional damage will be the responsibility of the lessor.

IMAGE AND GDPR

  1. Image: Participation in classes constitutes consent to the use of photos and recordings of the participant for promotional purposes of the School (social media, website). Objections may be submitted in writing to the reception desk.

  2. If children participate in classes, and a parent or legal guardian does not consent to the publication of photos or videos of their child, please notify the school reception in person. This request will be recorded and forwarded to the teacher. Please also remind the teacher of this decision before the class.

  3. Recording: Participants may record their own classes with the instructor's consent.

  4. GDPR: The data controller is the Turska & Ramos "Przestrzeń Tańca" Foundation. Data is processed solely for the purposes of providing services and communicating with clients.

  5. Personal data is processed for the purpose of registering participants, providing dance services, contacting clients and for promotional purposes – based on the participant's consent.

  6. The participant has the right to access the content of his or her data, correct it, delete it, limit its processing and transfer it.

  7. Providing personal data is voluntary, but necessary to participate in classes.

  8. Personal data will not be transferred to third parties without the express consent of the participant, except in cases provided for by law.

  9. Data may be stored for the period necessary to achieve the purpose and then archived in accordance with applicable regulations.

FINAL PROVISIONS

The school reserves the right to change the schedule or instructor and will inform participants accordingly.

INFORMATION CLAUSES:

Information Clause – Adult Participant / Client

  1. The Data Controller of your personal data is Fundacja Przestrzeń Tańca Turska & Ramos, ul. 1 Żołnierzy Armii Wojska Polskiego 8/4U.

  2. In matters concerning the processing of personal data, you may contact the Controller at: akademiapauliny@gmail.comturskaramosacademy@gmail.com, tel. +48 500 004 812.

  3. Personal data is processed for the purpose of receiving and processing registrations, concluding and executing contracts for classes, workshops, events, or camps, organizational contact, processing payments and settlements, maintaining accounting and tax documentation, and—where necessary—establishing, pursuing, or defending legal claims.

  4. The legal basis for processing is Art. 6(1)(b) GDPR – taking steps prior to entering into a contract and performance of a contract; Art. 6(1)(c) GDPR – compliance with legal obligations to which the Controller is subject; Art. 6(1)(f) GDPR – legitimate interests pursued by the Controller, in particular ensuring efficient organization, service safety, as well as establishing, pursuing, and defending claims. Where specific processing is based on consent, the legal basis is Art. 6(1)(a) GDPR.

  5. Recipients of data may include entities providing IT and hosting, accounting, payment processing, legal, postal, and courier services to the Controller, as well as other entities supporting service delivery—solely to the extent necessary to achieve a given purpose—and public authorities authorized under applicable laws.

  6. Data will be stored for the period necessary to deliver the service and settle the contract, and thereafter for the period required by applicable law, in particular tax and accounting regulations, as well as for the period necessary to establish, pursue, or defend claims. Data processed on the basis of consent will be processed until its withdrawal or until the purpose ceases to exist.

  7. Subject to the provisions of the GDPR, you have the right to access, rectify, erase, limit the processing of, and transfer your data, as well as the right to object to processing based on Art. 6(1)(f) GDPR. Where data is processed on the basis of consent, you have the right to withdraw consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal.

  8. You have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO).

  9. Providing data necessary for the conclusion and performance of the contract and settlements is a condition for using the services. Failure to provide this data may prevent registration or performance of the service. Providing data based on consent is voluntary.

  10. As a rule, data will not be used to make decisions based solely on automated processing, including profiling, which produce legal effects or similarly significantly affect you.

Personal data of the parent/guardian and the child are processed for the purpose of handling registration, organizing and conducting classes, workshops, events, or camps, ensuring organizational contact, participant safety, maintaining settlements, and fulfilling legal obligations incumbent on the Controller.

  4. The legal basis is, respectively, Art. 6(1)(b) GDPR – steps required to enter into and perform a contract concluded by the parent/guardian; Art. 6(1)(c) GDPR – legal obligations; Art. 6(1)(f) GDPR – legitimate interests of the Controller related to organization, service safety, and protection of claims; and in cases requiring consent – Art. 6(1)(a) GDPR.

  5. The scope of the child's data should be limited to what is necessary to fulfill the specific purpose. If participating in activities requires processing special categories of data (e.g., health data), the Controller will specify a separate, appropriate legal basis under Art. 9 GDPR and provide suitable information.

  6. The child's image used for promotional purposes is processed separately, based on the voluntary consent of the parent/legal guardian. Refusal to grant consent for promotional purposes will not affect the child's ability to participate in classes.

  7. Data recipients may include IT and hosting providers, accounting, payment operators, entities supporting event and service organization, and authorized public bodies—to the extent necessary to achieve the purpose.

  8. Data is stored for the duration of the service, followed by the period required by law and the time necessary to establish, pursue, or defend claims. Data processed on consent is retained until consent is withdrawn or the purpose ceases to exist.

  9. Under the GDPR, the parent/guardian has the rights to access, rectify, erase, restrict processing, transfer data, object, and withdraw consent. They also have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO).

  10. Providing data necessary for registration and service performance is required for the child's participation. Data provided based on consent is voluntary.

CCTV Surveillance – Short Notice

MONITORED PREMISES

The Data Controller is Fundacja Przestrzeń Tańca Turska & Ramos, ul. 1 Żołnierzy Armii Wojska Polskiego 8/4U. Video surveillance is used to ensure the safety of individuals and property protection. Legal basis: Art. 6(1)(f) GDPR – legitimate interest of the Controller. Recordings are generally stored for 30 days and then automatically overwritten, unless secured due to an incident, claim, or proceedings. CCTV Surveillance – Full Information

  3. CCTV covers designated business operational areas marked with appropriate signage. The system records, in particular, individual images, time, and location of events.

  4. The purpose of CCTV is to ensure the safety of individuals on monitored premises, protect property, prevent safety threats, and—when necessary—determine event circumstances and protect against claims.

  5. The legal basis for processing is Art. 6(1)(f) GDPR, i.e., the legitimate interest of the Controller in ensuring safety and property protection.

  6. Recordings are stored for 30 days, after which they are automatically overwritten, unless a specific excerpt is secured in connection with an incident, proceedings, a request from an authorized authority, or the need to establish, pursue, or defend claims. In such cases, material is retained for the time necessary for the specific purpose.

  7. Recipients of recordings may include entities providing maintenance or technical services for the CCTV system (based on an appropriate legal foundation), and authorities or entities entitled to obtain data under applicable laws.

  8. A recorded individual has—subject to GDPR provisions and the rights of others—the right to access data, limit processing, and object to processing based on Art. 6(1)(f) GDPR.

  9. You have the right to lodge a complaint with the President of the Personal Data Protection Office (UODO).

  10. CCTV data is not used for automated decision-making, including profiling.

Consent for Image Use – Adult Participant

I, the undersigned, hereby give my voluntary consent to the recording and dissemination of my image by Fundacja Przestrzeń Tańca Turska & Ramos in photographic and audiovisual materials related to the Foundation’s activities, for informational and promotional purposes, exclusively across the channels selected below.

I have been informed that consent is voluntary and may be withdrawn at any time with future effect. Withdrawal does not affect the lawfulness of image use based on consent before its withdrawal. Lack of consent does not affect the ability to use services or participate in classes, provided the image is not strictly required for a specific, separately agreed-upon service.
